Day of Coordinator

Before Wedding Day

-Unlimited email conversations

-Three in person meetings to go over wedding details

-Meeting at location for a walk through to discuss design

-Examining your plans, highlighting any potential problems and proposing solutions

-Create wedding day itinerary and music itinerary for ceremony and reception

-Reach out to vendors one to two weeks before wedding

-Complete facilitation of wedding rehearsal which includes instruction on family seating, wedding party processional, ceremony, wedding party recessional, and family recessional (one hour rehearsal time)


Pre-Ceremony

-Distribute wedding day itinerary and music itinerary for ceremony and reception

-Supervise vendor setup

-Ensure vendors follow itinerary

-Gathering up and distributing the ceremony items at the ceremony site

-Make sure set-up and décor for ceremony and reception is as requested

-Serve as the point person for every vendor (so couple doesn’t have to)

-Verify that things like favors and place cards receive proper placement

-Confirm setup of the guest book, gift table, cake table, and rentals

-Work with caterer and reception entertainment and review script for announcements and reception activities

Ceremony

-Greet guests or instruct ushers on the best way to greet and seat

-Cue pre-ceremony music

-Gather all family and the wedding party and place them in line for formal processional of ceremony

-Ensure that maid and/or matron of honor has groom’s ring

-Ensure that best man has bride’s ring or ring bearer has both rings

-Cue musicians and participants for family seating processional music

-Cue musicians and participants for wedding/bridal party processional music

-Cue musicians, bride, and escort for bride’s ceremony processional

-Adjust train and/or veil of bride upon entrance

Post Ceremony/Reception

-Direct guests to cocktail hour during the wedding party and family photos after the ceremony

-Work with caterer and reception entertainment and review script for announcements and reception activities

-Work with bride/groom/wedding party/family regarding announcement/s into reception, place them in line for announcements, and ensure that announcements go smoothly

-Coordinate all special dances with reception entertainment and all special dance participants

-Cue reception entertainers of cake cutting and toast announcement to guests

-Cue guests giving toasts

-Ensure that caterer prepares “going away” basket of food for bride and groom

-Gather bags, food, etc. that will leave with the couple and ensure that they are placed in departure vehicle

-Ensure that photographer, videographer, and reception entertainment are prepared for couple’s departure

-Work with reception entertainment to facilitate bouquet/garter toss and departure of couple

-Make sure day of runs smoothly and stays on time with the day of itinerary

Post Reception

-Supervise collection of all gifts, bridal memorabilia and/or supplies (guest book and pen, cake knife or service, disposable cameras, baskets, bridal bouquet, centerpieces, extra programs, extra favors and memorabilia, etc.) and ensure that all items are loaded into “designated” vehicles

-Supervise clean up and break down
